These third-party contractor management platforms are used by owner-operators (especially in oil & gas, utilities and industrial sectors) to verify a vendor’s safety records, insurance, certifications and compliance documentation before allowing them on a site. They do similar things, but each platform has its own client base and its own documentation requirements, so a contractor who works across multiple industries or clients often needs to be active on several at the same time, rather than just one.

Fire protection components (pipe, fittings, valves, sprinkler heads) are often required to be traceable to specific listed/approved products and in some cases specific manufacturing lots — especially for pressure rated piping. This is important, as in the event of a component defect or recall later on, traceability documentation enables a contractor to find out exactly which installations might be affected, rather than having to inspect every project that used that supplier.

By inspecting materials at their source, before shipment, defects, damage or incorrect specifications can be identified and corrected while the item is still at the supplier’s facility where rework or replacement is faster and less costly. When a problem is discovered after delivery to a remote industrial site, it usually leads to a significant delay in the schedule, as the replacement has to go through the entire cycle of sourcing and shipping again.

Examples of fire protection equipment that may have lead times of several months include custom-engineered fire pumps, speciality valves or clean agent cylinders fabricated to meet specific project requirements. Therefore, decisions on the procurement of long-lead items often need to be made early in a project, sometimes even before detailed design is complete and the design and procurement teams need to work closely together to ensure that the wrong specification is not ordered or the project’s installation window is missed.
